Accounts Receivable Coordinator

(14 months maternity leave replacement)

The Accounts Receivable Coordinator ensures all items shipped are correctly invoiced. The Accounts Receivable Coordinator is a member of the Finance department and performs other administrative duties as assigned. The Accounts Receivable Coordinator is reporting to the Controller.

Key Areas of Responsibility

  • Prepares invoices for all company shipments;
  • Validates data on sales orders (sales taxes, discounts, payment terms, etc.);
  • Ensuring that all orders invoiced have the correct shipping charges included;
  • Prepares all Return Merchandise Authorization (RMA) credit notes;
  • Prepares other credit notes requests;
  • Prepares all Accounts Receivable (AR) payment cash receipts (Checks/Electronic Funds Transfers (EFT)/Credit Cards);
  • Processing customers with credit cards payment terms by Visa/Master Card on a credit card machine terminal (for US transactions) or by telephone (for Canadian transactions);
  • Answers customer requests;
  • Prepares pro forma invoice for small shipment orders (Balance Prior accounts);
  • Prepares weekly sales report;
  • Prepares Costco scorecard;
  • Prepares Bi-monthly Costco Non-Warranty reports/invoices;
  • Verification of customer websites for invoice/payments;
  • Support to Collections (statements, invoices discrepancy, follow-ups, etc.)
  • Offers support for other finance related duties as required including monthly reporting;
  • Responsive to customers and a strong team player.


  • Technical course in accounting (completed);
  • 3 years of experience in an invoicing or equivalent position;
  • Candidate is expected to be well organised and capable of multitasking in a dynamic environment;
  • Candidate must be able to work in both independent and team environments;
  • Professional verbal and written communication with good grammar appropriate for a business environment in English and French;
  • Ability to work in a computerized environment (Enterprise Resource Planning (ERP) accounting software, Excel, Word, Outlook).

Working Conditions

  • Working conditions are normal for an office environment.
  • Regular hours 8:30am to 5:00pm - Monday to Friday (37.5 hours / week) for up to 14 months contract (maternity leave replacement).
