THE OPPORTUNITY We have an opportunity for an Investment Assistant to join our award-winning firm in the Vancouver office. WHAT YOU’LL DO In this role, you will join a Portfolio Manager and an existing assistant, providing dedicated support for discretionary portfolio management services to high-net-worth individuals. The ideal candidate is client-focused and detail-oriented. You take ownership of your responsibilities, adapt to changing priorities, and contribute to a team culture that values client service and teamwork. RESPONSIBILITIES Portfolio and Administrative Support Process transactions such as wires, EFTs, contributions, withdrawals, and transfers in a timely manner Facilitate account opening and onboarding Document transactions and client communications and ensure regulatory compliance Maintain accurate records while protecting client confidentiality and privacy Liaise with internal departments to facilitate client support Update and maintain investment model spreadsheets and portfolio rebalancing Attend internal research meetings and keep abreast of markets Client Support and Relationship Management Collaborate with the Portfolio Manager and client service teams to deliver seamless client experience and contribute to internal improvements Respond to client calls and emails, resolve inquiries regarding account activity and performance, and escalate issues as needed in a timely manner Maintain accurate client records and ensure compliance with KYC/AML regulations Execute mutual funds, equity, model, and fixed income trades Assist with new client onboarding Ensure client files and documentation are up to date and accurate in Salesforce Schedule and prepare materials for client meetings, including portfolio reviews and investment proposals Support clients through the wealth management process by gathering relevant information, documents, and questionnaires and following up on tasks COMPETENCIES Analysis – Assess quantitative and qualitative data, information, or situations to understand key details, identify patterns or meaning, and translate insights into useful recommendations, decisions, or actions Coordination – Prioritize, organize, and manage information, people, assets, resources, messages, tasks and/or activities to achieve a goal within timelines Customer Service – Determine needs, capture relevant information, apply internal policies or regulations, and escalate and prioritize customer requests to answer inquiries, fulfill transactions, or resolve issues Digital Literacy – Use technology, tools, and online resources to find, create, and communicate information or apply new digital tools or systems to our work while staying safe and responsible in digital environments Product Knowledge – Maintain and deepen knowledge of company products, services and/or applications to align features, benefits, and uses to client or stakeholder needs Regulatory Knowledge – Understand and apply relevant laws, regulations, and standards to meet legal and ethical requirements and reduce risk for clients and the organization KNOWLEDGE AND EXPERIENCE Minimum of 3 years of client-facing experience within the investment industry Registration with CIRO as an Investment Representative in good standing, with a willingness to pursue Registered Representative registration Intermediate to advanced knowledge of Microsoft 365 with expertise in Excel Exceptional verbal communication skills Strong writing skills with the ability to create clear, engaging, and professional content Intermediate knowledge of Salesforce Professional, tactful, and confident when interacting with clients Exceptional attention to detail and organizational skills with the ability to work efficiently and accurately Collaborative team member with a proven record of building trust and productive relationships Strong analytical and organizational skills, with the ability to manage multiple priorities Disciplined, motivated, and operates with a high level of accountability Social media experience is an asset WHAT WE OFFER A culture of openness, collaboration, and respect is foundational to our firm. The expected salary and commission range for this role is $70,000 – $80,000 per year, plus eligibility for a performance-based bonus.
