Private Client Associate Location: Toronto, Ontario Work Arrangement: Hybrid (minimum three days per week in our Toronto office)
Description RedOak Insurance Advisors is hiring a dedicated and detail-oriented Private Client Associate. This role offers a unique opportunity to develop expertise within the private client insurance segment while working directly alongside the President of RedOak Insurance Advisors. As a Private Client Associate, you will gain hands-on exposure to all aspects of a boutique private client practice, including client service, policy administration, underwriting coordination, renewals, insurer relationships, risk assessment, and portfolio management.
We are seeking an individual who is highly organized, curious, and eager to learn. The successful candidate will be supported in expanding their technical knowledge, obtaining their RIBO licence (if not already licenced), and progressively taking on greater responsibility in a fast-paced, client-focused environment.
Role Overview - Private Client Associate File & Data Management Maintain organized digital and physical files in accordance with RedOak Insurance Advisors' compliance and file retention standards. Enter and update client and policy information within our broker management system. Prepare files for archival, audit, or compliance reviews as needed.
Client Communication & Support Support the issuance and processing of submissions, quotes, applications, binders, policies, endorsements, and related documentation Assist in reviewing policies and renewals to ensure accuracy, completeness, and compliance while developing technical insurance knowledge. Ensure timely management of account abeyances, expiry dates, and renewal documentation. Coordinate with insurers and underwriters regarding quotations, policy terms, and placement requirements. Participate in proposal preparation and client presentations to gain exposure to private client relationship management. Support the delivery of a responsive, professional, and personalized client experience.
Policy & Account Management Accurately calculate provincial taxes and prepare agency bill invoices. Conduct detailed policy and fact-checking for upcoming renewals. Manage account receivables and track invoicing. Assist with maintaining policy records and documenting account activity
Marketing Assist with marketing initiatives, content development, and business development efforts that support the growth of RedOak Insurance Advisors.
Administrative & Operational Support Handle third-party requests for policy information and certificates and insurance confirmations. Run reports and support operational tasks such as expiration tracking, producer reporting and data management. Conduct internet-based research related to client needs, market developments, insurer offerings, or emerging risk trends. Contribute to projects and initiatives that enhance processes and support the continued growth of the business.
What You’ll Need for Success Post-secondary education, including a university degree or college diploma in business, insurance, finance, communications, or a related discipline, is preferred. Equivalent combinations of education, experience, and demonstrated interest in the insurance industry will also be considered. Valid RIBO licence is an asset but not required. Knowledge of property and casualty insurance & wealth management is an asset but not required. Exceptional written and verbal communication skills, with the ability to communicate professionally, clearly and accurately with clients, insurers, and business partners. Understanding of and proficiency with AI productivity tools is considered an asset. Proficiency in Microsoft Office (Word, Excel including pivot tables, Outlook, PowerPoint). Experience with Broker Management systems is an asset but not required. Strong organization skills with a keen attention to detail and ability to manage competing priorities. Self-starter with excellent time management and the ability to work independently and as part of a team. Client-centric mindset with strong interpersonal skills. Demonstrated curiosity, initiative and a willingness to learn and grow professionally.
