Role Overview Celernus is seeking a Senior Client Services Manager to lead client onboarding, account administration, and operational support. Reporting to the firm’s Senior Partners and working closely with our Investment Counsellor, this role coordinates client service activity across the firm while maintaining direct client and advisor interaction. This role is ideal for a seasoned client service professional who thrives in a hands-on boutique environment. You enjoy owning complex processes end-to-end, solving problems proactively, and ensuring clients feel supported at every step. You are both a doer and a leader — someone who elevates the client experience while helping strengthen the service capabilities of the entire team.
Key Responsibilities Client Onboarding & Relationship Support Lead and manage all new client onboardings — from initiation to completion — while providing proactive updates and an exceptional client experience. Coordinate all transfers, ensuring book values and account data move correctly from relinquishing custodians. Gather, track, and maintain KYC/IPS information to ensure ongoing regulatory compliance. Develop a deep understanding of each client’s personal and financial profile.
Operational Execution & Systems Ownership Manage and maintain the firm’s CRM system, ensuring accuracy and up-to-date client information. Set up all clients within NBIN systems (MyPortfolio+, Compass, etc.) and ensure accurate platform advisor configuration within NBIN and Croesus. Set up billing in Croesus for new clients and coordinate approvals with Accounting/Compliance. Manage internal client files, ensuring documentation is complete, organized, and privacy-compliant. Track and maintain valid personal identification documents for all clients.
Client Reporting & Account Administration Generate ad hoc client reporting (portfolio statements, transaction histories, etc.). Process account-level changes: RRSP to RRIF conversions, LIRA to LIF conversions, RESP administration, PAC/SWP setups, and annual RRIF minimum calculations. Support all aspects of account maintenance in partnership with the Investment Counsellor and Portfolio Managers.
Advisor & Custodian Support Train clients and platform advisors on the use of NBIN and Croesus tools as the firm’s internal “power user.” Liaise with NBIN to stay ahead of platform updates and translate new features into internal best practices. Participate in internal service and operations meetings, contributing to both advisory and operational initiatives.
Team Leadership & Development Coach and mentor junior service staff to help develop their technical and professional capabilities. Support a positive, collaborative team culture with a focus on continuous improvement.
Required Qualifications 5+ years of experience in client service, operations, or account administration within wealth management, investment management, or brokerage environments. Completion of, or willingness to complete, the Canadian Securities Course (CSC). Strong understanding of investment account structures and operational processes (NBIN and Croesus experience preferred). Excellent communication skills — written, verbal, and client-facing. High attention to detail and accuracy, with strong organizational skills. Ability to manage multiple priorities and meet deadlines in a dynamic, boutique environment. Demonstrated initiative, ownership mentality, and willingness to collaborate with PMs, partners, advisors, and clients. Proficiency in Microsoft Office, particularly Excel.
Compensation Package Salary: $60,000-$75,000 Commensurate with experience. Discretionary bonus program. Benefits package available.
