About the role
Title: Administrative Services Coordinator Location: Head Office - Delta, BC Salary Range: $49,000 to $51,000 per annum Schedule: Monday to Friday - 8:30 AM to 5:00 PM About the Role We are looking for a detail-oriented and proactive Administrative Services Coordinator to join our team. In this role, you will be responsible for supporting subcontractor, contract administration, customer service operations, and a variety of administrative functions that contribute to the success of our business. You thrive in a fast-aced environment, enjoy managing multiples priorities, and approach challenges with a solutions-oriented mindset. Using Alpine's technology platforms and Microsoft Office applications, you will support operational workflows, respond to client and subcontractor inquiries, and ensure the timely execution of assigned tasks. The ideal candidate is highly organized, adaptable, and eager to take on new projects while delivering exceptional service and administrative support across multiple accounts. What You Will Be Doing Process incoming client service requests by reviewing information received through client systems and creating work orders in the internal service management system Support service dispatch activities by preparing work orders with relevant service details and forwarding them to supervisors for scheduling and field assignment Maintain communication with supervisors throughout the service process to receive job updates, completed documentation, and site photos Review completed service information, update work order notes, attach supporting documentation, and ensure records are accurate and complete Update internal and client systems with service completion details and close work orders upon receipt of required documentation Maintain accurate records of service requests and work order status Assist with responding to service inquiries and provide administrative support to help ensure timely processing and completion of client requests Verify that completed work orders include the required documentation before finalizing records and closing service requests Post purchase credit memos, generate client quotations and assist with administrative documentation as require Maintain accurate electronic records and ensure documentation remains current across internal systems What You Will Bring Exceptional attention to detail and organizational skills. Strong critical thinking and problem-solving abilities. Ability to prioritize competing tasks and adapt to changing business needs. Proficiency in Microsoft Office (Word, Excel, Outlook) and experience working with CRM and CMMS systems. Experience with document control, compliance administration, or contract management is an asset. Experience with financial reporting, quote generation, and administrative reporting. Excellent written and verbal communication skills. Learning agility with the ability to quickly understand new systems and processes. Resourceful, proactive, and able to work independently while collaborating with cross-functional teams.
