Position Summary Reporting to the Vice President, Property Management (VP) for the applicable region, this role is a business leader for our Property Management platform and plays a key role in supporting the platform to reach our business objectives. The Director contributes to the strategic direction and operational planning of the portfolio, drives performance against established goals and KPI’s, and is accountable for the operational and financial results of the assigned portfolio. Key Responsibilities Leadership Provide direct management, supervision and mentorship to Property Managers (PM) and Property Management Assistants (PMA) Provide support to PM’s and Director, Operations for management and supervision of Site-based employees and Operations Support recruitment of new employees, training and development of programs for the Property Management team Perform and document employee development including but not limited to, performance reviews and performance improvement plans Review and update organizational procedures, government regulations and policies under the direction of the VP or Senior Vice President (SVP) and in conjunction with People Experience (PEx), Digital Technology (IT), Accounting and Finance, and Senior Management to ensure compliance, consistency and efficiency Review and ensure all worker safety programs and requirements meet corporate initiatives in conjunction with PEx and the corporate designate(s) Assist the SVP and/or VP with the review of the property portfolio and staffing structures In partnership with the Director, Operations, establish and maintain national contracts for services and supplies and update the standard service contract agreement as required. Contribute to the development and execution of platform strategy and annual operational plans in support of the company’s short- and long-term business objectives Operations Maintain oversight of third-party managed portfolios Support PM’s and Operations Teams with capital and major projects, sustainability initiatives (assessing needs, priorities and schedule) Regularly review rent reviews, budgeting, CAM recoveries and financial reports with the PM’s on a monthly basis or as directed by the SVP and/or VP Conduct periodic site visits to ensure that all physical aspects of the properties are always fully functional and maintained in desirable condition, providing feedback to PM’s as needed Review and approve purchasing as directed and as per the established guidelines Assist with the review of new and renewal service contracts for accuracy and compliance to Concert guidelines Review and assist PM’s with commercial tenant improvement work so that requirements are understood, followed and timelines met. Liaise with Asset Management and Director, Operations as necessary. Assist with management of sites during PM’s absence Champion a high standard of tenant and customer service, supporting PM’s in building strong tenant relationships and resolving escalated issues to drive tenant satisfaction and retention Establish, monitor and report on key performance indicators (KPIs) for portfolio performance, operational efficiency, resident retention and financial results, identifying opportunities to improve service delivery and profitability Support PM's in the preparation and review of operating and capital budgets, quarterly reports, and reforecasts, ensuring targeted financial performance is achieved. Oversee residential marketing and leasing initiatives and platforms, with guidance from the SVP and VP, focusing on implementation, review, and performance tracking Required Knowledge and Skills Post-secondary education in Business, Real Estate, Property Management or a related discipline, or an equivalent combination of education and experience Industry designation such as RPA, CPM, FMA or ARM (completed or in progress) is considered an asset 8 to 10+ years of progressive property management experience across both commercial and residential platforms, including supervisory or leadership experience Knowledge of all governing legislation such as, Residential Tenancies Act, Labour Standards Act, Fire and other Building Codes and Occupational Health and Safety and any other legislation required by the province. Excellent oral and written communication skills. Demonstrated leadership and coaching abilities Knowledge of building systems operation and building maintenance Knowledge of Commercial Leasing, Tenant Improvements and Commercial Recovery Procedures. Accounting knowledge and experience in preparation of budgets, review of financial and CAM statements Proficiency with property management and accounting software (e.g., Yardi) and Microsoft Office (Excel, Word, Outlook) Ability to multi-task and meet deadlines Strategic thinker with strong organizational skills and attention to detail Self-motivated and results-oriented, with sound problem-solving and conflict-resolution skills Demonstrated commitment to customer service and to building strong tenant and stakeholder relationships This is a general description of the tasks and skills required.
