Position: Office Manager (Terminal Logistics) Job Type: Full-time, Permanent Job Location: 1600 Wellington, Montreal, Quebec, H3K 1V4 About Ray-Mont Logistics Ray-Mont Logistics is a leading organization and a trusted, essential link in the global logistics supply chain. Ray-Mont Logistics is currently seeking a permanent full time Office Manager to join its vibrant team. The Office Manager is responsible for overseeing the administrative, financial, and office support functions of a busy logistics terminal. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced transportation and logistics environment. Oversee office procedures, records management, document control, and filing systems. Coordinate purchasing of supplies and equipment. Monitor key administrative and operational performance indicators. Perform other duties as assigned to support terminal objectives. Process invoices, batches, purchase orders. Assist with budget tracking and expense management. Support accounts payable and accounts receivable functions. Reconcile invoices and operational billing records. Provide administrative support to terminal management and operational teams. Support strategic projects and continuous improvement initiatives. Assist with maintaining operational records, permits, certifications, and compliance documentation. Review employee scheduling, vacation tracking, and attendance records. Manage incoming calls, correspondence, and customer inquiries in collaboration with the logistics team. Ensure administrative compliance with company policies and industry regulations. Maintain safety records, training documentation, and incident reporting files. Lead and support Health & Safety program. Assist in preparing documentation for internal and external audits. Maintain records and training documentation. What We’re Looking For Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field preferred. 5+ years of logistics, administrative or management experience. Experience supporting multiple departments in a fast-paced operational setting. Experience in logistics, transportation, marine terminals, rail operations, warehousing, or industrial environments preferred. Strong organizational and multitasking abilities. Excellent written and verbal communication skills in English and French. High attention to detail and accuracy. Strong problem-solving and decision-making capabilities. Ability to work independently and manage competing priorities. Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint). Strong customer service orientation. What It’s Like to Work Here Full time onsite terminal based within an active logistics working environment. Regular interaction with terminal operations, drivers, customers, and contractors.
