Position Title: Gift Processing Specialist (Temporary), Canada Department: Gift Processing Reports To: Gift Processing Supervisor Status: Full time, Hourly (30-36 hours/week, M-F) Location: In-Office, Burlington, ON Salary Level: M ($27.65 to $31.11 CAD) Date: June 24, 2026 PURPOSE: The Gift Processing Specialist provides timely and precise processing of donations in alignment with established procedures, organizational policies, donor intent, required timelines, and CRA regulations. The position also upholds CRM data integrity by ensuring the accuracy and completeness of constituent records. ESSENTIAL DUTIES AND RESPONSIBILITIES: Process incoming gifts by batches (Remote Deposit, EFT’s, Interact e-Transfers, Grants, Stocks and Multi-Agency Gifts), code batched gifts, electronically deposits cheque gifts into bank, batch gift entry in Apsona system, reviews, commits and posts recorded gifts by batches into CRM – Salesforce System. Record all mailed and online donations, including annual gift catalog donations daily, while adhering to the defined process for financial controls and accuracy of donation entry. Process receipts in a timely manner, both electronic and mail receipts, following established receipt guidelines and CRA regulations. Partner with the finance team to provide accurate and timely deposit information and resolve any discrepancies. Troubleshoot online giving issues for donors, resolving the issue and following up by phone or email with the donor. Ensure that donor individual accounts, stock, estate, donor-advised fund, and multi-agency donations are processed appropriately and acknowledged based on established guidelines and regulations. Identify special circumstances that require additional research or input; perform the necessary research, and or obtain appropriate guidance. Participate in annual audit work, providing all required information to the finance team in a timely manner. Maintain CRM data integrity through impeccable entry of new contact information, monitoring and scrubbing duplicate data from integrated systems, and updating demographic and mailing information, emails and phone numbers as received from individual Donors, Donor Relations and Cace Team. Collaborate with WR fundraising and finance teams by providing accurate revenue reports, answering questions regarding gifts, and providing excellent internal customer service. Ability to exercise sound judgment in situations where information may be incomplete or unclear. Basic understanding of financial accounting and demonstrated ability to reconcile financial data. Intermediate proficiency in Microsoft Word and Excel. Willingness and ability to learn new technical skills and become proficient with the CRM and related systems. Self‑disciplined, motivated, and capable of working independently with minimal supervision. EDUCATION AND EXPERIENCE: Some post‑secondary coursework preferred in accounting A minimum of one year of experience maintaining database information is required. Experience with Salesforce NPSP is preferred. LANGUAGE SKILLS: Excellent command of the English language, both written and verbal, is required. This position requires: Extensive computer work and concentrated reading, sitting for long periods of time. Occasional lifting of backup documentation boxes into and out of storage (up to 15 pounds). Travel within in the United States and Canada may be required. This position requires work during peak seasons, including calendar year-end. World Renew requires permanent work authorization at time of hire.
