Administrative Assistant – Compliance & Disclosure
Oversees all logistics with respect to external complaints handling including their initial review and assignment.
Reviews, tracks and assigns all incoming daily communications from securities regulators and our Regulation Services Provider (IIROC).
Prepares and edits written communication for formatting, grammar, punctuation and spelling. Correspondence consists primarily of letters to issuers regarding governance issues.
Compiles monthly, quarterly and annual departmental statistics for Regulatory Oversight.
Searches various internal and external databases for personal and corporate information relating to due diligence and investigative reviews.
Maintains internal files, systems and databases.
Provides full administrative and clerical support to a team of nine professionals.
Special projects as requested
Administrative functions, including reception relief coverage
Must Have Skills:
College diploma in administrative studies with a minimum of three years experience in an administrative support role in a corporate environment.
Proficient in Microsoft Office , google works and Lotus Notes.
Strong keyboarding skills.
Ability to multi-task and prioritize time appropriately.
Excellent written and verbal communication skills.
Scrupulous attention to detail
Strong organizational skills.
Professional telephone etiquette and customer service focused.
Self-starter - able to work independently.
Sensitivity to confidential matters is critical.
Familiarity with the securities industry would be considered an asset.
